Maryland Disability Law Center seeks Accounting Clerk for accounts payable, payroll, facilities management, information technology support and other business office functions
JOB RESPONSIBILITIES
Duties related to the disbursement function:
1. Receiving, costing, and processing of vendor invoices.
2. Filing and updating vendor records.
3. Calculating accuracy of vendor transactions.
4. Recommending updates to accounts payable systems and manuals.
5. Processing check runs, including mailing.
6. Receiving phone calls from vendors.
7. Submitting internal control recommendations regarding the safeguarding of assets.
8. Preparing reports as needed.
9. Assisting at Year-end, Month-end close.
Duties related to processing of payroll:
1. Processing documentation related to the Payroll Department and payroll processing.
2. Communicating with other Company employees to answer their questions regarding payroll and benefits.
3. Maintaining the payroll database.
4. Processing and distributing payroll.
5. Generating, organizing and archiving payroll reports.
6. Maintaining security over payroll information and the database.
7. Preparing reports as needed.
8. Recommending updates to payroll systems and manuals.
9. Assisting at Year-end, Month-end close
Duties related to the accounts receivable/cash management function:
1. Receiving, copying, and preparing for deposit, checks received.
2. Entering receipts and filing documentation.
3. Monitoring bank accounts and preparing cash transfer requests.
4. Updating cash receipt folders and monitoring status of federal funds.
5. Preparing reports as needed.
6. Recommending updates to the cash management systems and manuals.
7. Assisting at Year-end, Month-end close.
Duties related to the facility management/information technology function:
1. Inventory and maintain office equipment such as computer hardware and software, printers, copiers, fax machines, telephone systems, furniture and assistive technology.
2. Obtain bids and communicate with vendors.
3. Maintain physical plant; troubleshoot and obtain bids and communicate with property management and other vendors.
4. Ensure office accessibility and Americans with Disabilities Act (ADA) compliance.
5. Provide support for Information Technology functions.
Additional duties and responsibilities:
Perform other appropriate duties as assigned; travel within the State of Maryland may be required.
1. One year college level accounting coursework and a minimum of one year experience in accounts payable or payroll processing. Extensive experience in both accounts payable and payroll processing may be substituted for the accounting coursework.
2. Proficient knowledge of accounting software, budgeting software and Microsoft Office is required, to include proficiency in Microsoft Excel and Access programs.
3. Ability to self-direct work activities, successfully manage multiple work priorities and work under deadlines with speed and accuracy.
4. Ability to maintain confidentiality and exercise good judgment.
5. Ability to comprehend and carry out complex oral and written instructions.
6. Strong interpersonal, customer service and telephone skills, including the ability to handle difficult situations patiently and tactfully.
7. Ability to communicate both orally and in writing, including a working knowledge of English grammar, punctuation, spelling and sentence structure.
8. Experience working with and/or sensitivity to persons with disabilities and from multi-ethnic communities.
